CIL to make an online portal operational for bill to bill reconciliation for power utilities

Ranchi: Coal India Limited will make an online portal operational for bill to bill reconciliation for power utilities from April next year.

For smooth functioning of the portal, the director in charge (marketing) has been asked to assign different necessary tasks to concerned general managers (GM) including GM(marketing and sales), GM(quality control), GM(finance), GM(system), GM(sales).

GM(marketing and sales), GM(quality control), GM(finance) have been asked to provide name, designation, mobile number, EIS No., official mail address of area sales manager, area quality control manager, area finance manager of each area.

GM(M&S),GM (Systems) & GM(Finance) have been asked to create multiple invoices of one siding with the same RR number when dispatch from a siding is done from multiple sources, wherever applicable.

GM(Sales) & GM(Systems) have been asked to ensure that weighed and unweighted remarks should appear for each rake.

GM(M&S),GM(Finance) &GM(Systems) have been asked to ensure verification of the grades and price entered in the Coal net/ Quality portal to ensure that the same is updated.

GM(M&S)/GM(Finance) and GM(Qc) have been asked to perform bill to bill reconciliation of the past period as per their existing system and procedure, till 31.03.2020, as the online reconciliation is to start from 0I.O4.2O2O

GM(M&S) has been asked to provide the name, address, mobile number, mail address & service number of the authorized person of the power plant for access to the portal.

GM(Finance) has been asked to complete the procedure for adjusting the lump sum receipt of advances against coal value may be intimated.

GM(M&S)and GM(Systems) have been asked to make provision for consumer code specifying the parameters of the consumer in the coal net.

The decision was taken after a video conference held on September 25 between CIL and the officials of Sales, Quality and Finance of the subsidiary companies. During the conference methods and different steps for conducting the same was discussed in detail which was helpful in understanding the process and developing familiarity with the system.

Online reconciliation has been a long awaited requirement which will make the process of reconciliation easier and efficient. At the same time it will also save valuable energy and time for the power plant and coal company personnel, as the offline system was cumbersome and time taking. This also resulted in a pendency of reconciliation jobs for several months.
